What to Send a Display Supplier for an Accurate Quote

A practical RFQ checklist covering dimensions, quantities, artwork, use conditions, packing and delivery responsibility.

List products, quantities and versions

Give each display or graphic a clear name, finished dimensions and quantity. Separate store, language and artwork versions so the supplier can price the real production mix rather than one representative item.

Describe merchandise and use conditions

For counters and shelf displays, include product dimensions, weight and desired facings. State indoor or outdoor use, expected handling, site restrictions and whether installation or repeated assembly is required.

Supply controlled artwork information

Identify the approved visual reference and production artwork, with units, scale, bleed, cut paths, slots and holes. Flag important brand colours and request a physical print sample where colour or finish is critical.

Define packing, destination and commercial terms

State whether units should arrive assembled or flat packed, any store-by-store labels, carton limits, destination and required date. Confirm freight scope, inspection and payment terms separately from production timing.

General production guidance. The agreed drawings, material specification and quotation define your order.
